How Project Management Tools Can Improve Your Productivity


If I say “project management”, what do you think of? Commercial enterprises, large-scale projects, businessmen and women struggling to impose their ideas. But that’s not the only thing project management is for.

Are you curious? First, let’s take a step back and talk about what project management is.

What is Project Management?

Project management is, by any means, keeping track of all the progress made in completing a specific task.

Although project management is very well suited to the efforts of large companies working on large-scale projects, it can also be applied to all kinds of things. You can :

While you can certainly manage a small project with a paper calendar and a Velleda board, when projects start to get more complex, more powerful tools become necessary. Here’s a short list of typical tools you’ll find on a project management platform.

Kanban boards

Kanban boards give you a visual indication of the progress of a project. Each board is divided into columns (“To Do”, “In Progress”, “Done”) where you can place cards that represent each sub-task. For example, in your “To do” column, you can add cards for the following tasks:

  • dishes ;
  • laundry ;
  • races;
  • invoices;
  • homework.

You will then place each of these cards in the “To do” column. Let’s say it’s time to do the dishes. Before you begin, you can move the “Dishes” card from the “To Do” column to the “In Progress” column. Then, when you have completed the task, you will move the “Dishes” card from the “To do” column to the “Done” column.

Gantt chart

Many consider Gantt charts to be the absolute project management tool. To put it simply, Gantt charts are a kind of horizontal bar graph to track the progress of different tasks. The graph displays tasks to be performed on the vertical axis and time on the horizontal axis. An essential aspect of the Gantt chart is the timeline of events.

For example, you can use kanban boards and not give a single card a deadline. However, a Gantt chart depends on timelines to be effective. So if you don’t have a specific deadline for each task, the Gantt chart is probably not the right solution.

Calendar

You will need a project-specific calendar that can be shared with all team members.

Dashboards

They give you an overview of the progress of all projects in a unified workspace.

Collaboration tools

Your project will greatly benefit from collaboration tools like document editing, communication and file sharing.

Report

You will need the ability to generate different types of reports for a project.

There are a number of cloud project management platforms. Some of these services offer free accounts that are great for small projects. Each of these services includes a collection of various tools that you can use. For each of them, I’d recommend signing up for the free plan to see if the offering meets your project’s needs.
