Outlook: Share calendars with other people – this is how it works

Your friends and family can also see your calendar in Outlook thanks to the sharing function. We’ll show you how to grant other people access to appointments.

The integrated calendar in Outlook is particularly useful for keeping an eye on all your appointments as well as your emails. Your contacts can also benefit from this overview. For example, employees of the same organization can share a calendar in Outlook via sharing. But you can also easily share appointments with people outside of a company.

Outlook calendars come in two independent versions. An organization’s calendar managed with Microsoft Outlook and Office 365 through an Exchange server, as well as Outlook calendar on Outlook.com for Microsoft accounts.

You can share calendars at Outlook.com with other Microsoft users directly via the web app in the browser. With the Outlook application, you can share a calendar with other people in the same organization. In the following instructions, we will explain the procedure for both types of calendars.

    To share an Outlook calendar within your organization, click on the icon with the double arrow under “Share” in the calendar overview.

    In the sharing window that appears, enter your contact’s email address and select the details to share. There you have the choice to only display your availability or to release limited or all details for appointments. After clicking on “Send”, the contact receives the release and can add the released calendar to their collection.

If you use the Google calendar in addition to the Outlook calendar, you can also synchronize them with each other for a better overview. You can find out how to do this in the linked instructions.
